Klugify ("we," "our," or "us") provides IT consulting, business automation, and managed IT support services to small businesses and startups. This Privacy Policy explains how we collect, use, and protect information when you interact with us — including when you visit klugify.com, submit our contact form, book a call, or engage us as a client.

1. Information We Collect

We collect information in the following ways:

Contact form: When you submit our website contact form, we collect your name, business name, email address, business type, and any message you provide.
Booking: When you book a call through Cal.com, we collect your name, email address, and scheduling information.
Client engagements: When you engage us as a client, we may collect business information, system credentials (stored securely), and any data necessary to deliver the agreed services.
Website analytics: We use Google Analytics 4 to collect standard web analytics data (page visits, session duration, browser type, referring URL). This data is anonymized and used only to improve the site.
AI Receptionist product: If you interact with a business using our AI Receptionist product, we may collect your phone number, name, and the content of your call or SMS to route your inquiry to the business owner. See Section 4 for details.

2. How We Use Your Information

To respond to your inquiry or message
To schedule and conduct discovery calls
To deliver agreed IT consulting or automation services
To send you service updates, project status, or invoices relevant to your engagement
To improve our website and understand how visitors find us

We do not send marketing emails unless you have explicitly opted in. We do not sell your personal information.

3. How We Share Your Information

We share information only in limited circumstances:

Service providers: We use third-party tools including Cal.com (scheduling), Netlify (website hosting), Google Analytics (web analytics), and Zoho Mail (email). These providers process data on our behalf under their own privacy policies.
Legal requirements: We may disclose information if required by law or to protect our legal rights.

4. AI Receptionist Product — Caller Data

Klugify offers an AI phone receptionist product to small businesses. If you call a business powered by this product:

Your call may be answered and transcribed by an AI voice agent (Retell AI)
A call summary, including your name, phone number, and reason for calling, is sent to the business owner
If you provide your phone number or email, that information may be used to book an appointment or send a follow-up SMS on behalf of the business
You can opt out of SMS follow-ups at any time by replying STOP
Call transcripts and appointment data are retained for up to 12 months

5. Data Security

We use HTTPS/TLS encryption for all data in transit. Client credentials and sensitive access information are stored in encrypted secret managers (AWS Secrets Manager), not in plain text. We apply the principle of least privilege — we only access what we need to deliver the service.

6. Data Retention

Website contact form submissions are retained for up to 24 months. Client project data is retained for the duration of the engagement plus 12 months, or until you request deletion. You may request deletion of your data at any time by emailing us.

7. Your Rights

You have the right to:

Access the personal information we hold about you
Request correction or deletion of your data
Opt out of SMS communications at any time by replying STOP
Request that we stop using your data for analytics (you can also block Google Analytics using browser extensions)

8. Children's Privacy

Our services are not directed to individuals under 13 years of age. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page with a revised "Last updated" date. Continued use of our services after an update constitutes acceptance of the revised policy.
